Provincial Offences Act Court Administrator
The incumbent performs routine clerical, administrative, general accounting, and data processing functions within the Provincial Offences Office. The position receives direction and work assignments on specific tasks and projects and provides operational support to ensure efficient and effective service delivery.
The incumbent also performs Courtroom Clerk and Monitor duties and is responsible for maintaining a high standard of customer service.
Provides guidance to cashiers and training to new staff regarding the processing of POA payments.
The incumbent reports to the Treasurer and works under a memorandum of understanding with the Province of Ontario and a service agreement between the municipalities of the Rainy River District and the Town of Fort Frances.

Administrative Assistant Functions
- Provides administrative assistance and direct support, including the composition, preparation, and research of reports, correspondence, presentations, and other documentation, including sensitive and confidential materials.
- Maintains calendars and schedules, ensuring all required materials are prepared and circulated in advance and that logistics and arrangements are coordinated.
POA Clerk Functions
- Develops and maintains knowledge of Provincial Offences Administration to ensure effective support and service delivery to customers and stakeholders.
- Accepts and verifies tickets and related documentation from enforcement agencies for filing.
- Inputs tickets and related information into the ICON (Integrated Court Offences Network) system.
- Processes payments and retrieves information through ICON in response to inquiries from defendants and their agents.
- Balances daily payments including cash, cheque, debit, and credit transactions; performs reconciliation and end-of-day bank closing procedures in ICON.
Courtroom Clerk / Monitor Duties
- Performs courtroom clerk and monitor responsibilities during court proceedings.
- May be required to set up and takes down courtroom equipment.
- May be required to manage data entry and recording of court proceedings.
- Coordinates and monitors virtual court attendance using platforms such as Zoom.
- Performs courtroom procedures including opening/closing court, administering oaths, arraignments, endorsing documents, and maintaining the court docket.

- Ensures all duties are performed accurately, efficiently, and in accordance with applicable legislation, policies, and procedures.
- Provides high-quality customer service to the public and stakeholders.
- Maintains a positive and collaborative work environment with coworkers.
- Performs other related duties as assigned.
- Continuous physical demands include combined muscular and sensory strain for prolonged periods of time while the incumbent reviews information and prepares reports from a seated position
- Concentration is frequently interrupted by telephone calls and in-person enquiries.
Required
- Grade 12 Diploma or equivalent.
- Previous court or courtroom experience of two to three (2-3) years.
- Previous administrative support experience in an executive or public-facing environment.
- Minimum three (3) years of computer-related experience in a work environment.
- Minimum two (2) years of cash handling experience in a customer service environment, including processing debit and credit transactions.
- Experience preparing agendas, minutes, correspondence, and reports with a high degree of accuracy.
- Demonstrated ability to provide effective customer service in a professional setting.
- Valid Class “G” Driver’s License with a clean driving record, with the ability to travel as required.
Must provide a satisfactory criminal and vulnerable sector background check.
- The incumbent works a 20-hour week (4 hours per day), with a flexible schedule designed to accommodate both operational requirements and personal needs.
- The majority of work is spent indoors in a business environment.
- Out-of-town travel within the Rainy River District may be occasionally required.
- Exposure to work-related hazards is rare; however, the incumbent will encounter frustrated and upset individuals on a regular basis
- Travel in adverse weather conditions may be required infrequently
- Additional hours may be required on an infrequent basis
